ORDER MANAGEMENT COORDINATOR

(Santa Clara, CA)

We are seeking an Order Management Coordinator with the strong ability to multitask between different sales administrative activities, react quickly under pressure, have a strong business acumen, is able to conduct themselves in an extremely professional manner, prioritize and plan work activities and able to adapt to changing conditions. This position encompasses clerical work assignments with an emphasis in sales order data entry, order maintenance and communication, ensuring quality customer service to our clients.

Job Responsibilities:

  • Responsible for order entry, order maintenance, and communication with customers regarding order status, stock levels, pricing, anticipated delays and etc.
  • Responds to both internal and external customers’ inquiries to assist order execution.
  • Reviews orders for any inconsistencies and verifies customer information is accurate and up-to-date.
  • Collaborate and coordinate with other departments to ensure smooth and timely order execution.
  • Gather proof of delivery documentation for each shipment and enter delivery information in company database.
  • Ensure timely and accurate submission of quality records for customers.
  • Complete checklists, gather Device Master Record (DMR) documentation and scan forms for each order.
  • Scan Vendor documentation relating to purchase orders into accounting system.
  • Process warranty registrations and submit certificates to clients.
  • Performs other related duties as assigned or requested.

INTEGRATION TECHNICIAN (ENTRY LEVEL)

This individual will work closely with Sales and Shipping departments to configure and test computers and peripherals per customer’s requirements.

PRODUCTION & QUALITY MANAGER

We are seeking a Production & Quality Manager who will be responsible for planning, coordinating, and directing the quality program designed to ensure quality control and quality assurance of production is consistent with established standards by performing duties personally and through subordinates. This individual will also manage the quality of incoming materials or components as well as finished goods, work in process, or services provided.

Job Responsibilities:

  • Ensures physical and workforce resources are adequate to meet the company's production schedule to ensure that volume, cost and quality standards are achieved.
  • Establish priorities and direction for production team to ensure efficient production processes and harmonious relations with different departments.
  • Manages the activities of production personnel including workflow, assembly methods, and work force utilization.
  • Ensure strict compliance to all ISO 9001 and ISO 13485 Quality Management System related standards.
  • Act as a liaison with customers to process complaints and assessing product returns.
  • Ensures that suppliers meet the company's quality standards. This includes dictating the quality requirements for each supplier, helping suppliers generate quality records per company requirements, reviewing quality records, and conducting supplier audits. Manage supplier corrective and preventive actions.
  • Support quality control by performing own inspections; ensuring that products and processes comply with relevant specifications and requirements.
  • Analyze product/process failure, perform root cause analysis, and implement appropriate corrective/preventive action.
  • Create and maintain quality documentation, such as procedures, inspection plans, work instructions, and quality assurance specifications.
  • Participates in developing and implementing policies, guidelines and programs in support of overall site, division and corporate objectives.
  • ssist Chief Technology Officer in maintaining the Quality Management System, including the conducting of internal process audits and the control of quality documentation and records.

ACCOUNTING SPECIALIST

We are seeking an Accounting Specialist who will provide accounting support to major financial accounting areas, including accounts payables, accounts receivables, general ledger accounting, and accounting reconciliation.

Job Responsibilities:

  • Prepare various accounting entries to general ledger, analyze GL entries, balance and verify GL accounts daily, and reconciles as required.
  • Prepares and balances all assigned activity on a daily basis.
  • Monitor the various banking accounts and cash flow.
  • Develop and maintain reports and files on asset and liability account balances.
  • Prepares moderately complex spreadsheets, charts and graphs as part of problem solving and/or reporting requests.

  • Must have a strong knowledge of accounting rules, regulations, policies and procedures.
  • Proven, solid Excel skills and exposure to automated accounting systems.
  • Ability to type at least 45 words per minute and use a 10-key by touch.
